1. Business service and authority

Renew Gas Cert Hub ("Renew Hub") is supplied to business customers only. The person subscribing or accepting these Terms confirms that they are authorised to bind the subscribing business or organisation and that the information supplied during signup is accurate.

Renew Hub is an administrative and renewal-reminder service. It does not replace the customer's own statutory, regulatory, certification, inspection, record-keeping or professional obligations.

2. Seven-day free trial

New eligible business customers who subscribe through the Renew Hub signup flow receive a seven-day free trial. The trial begins when Stripe confirms creation of the trial subscription.

A valid supported payment method is required at signup. No Renew Hub subscription fee is charged during the seven-day trial. If the subscription is cancelled before the trial ends, no first paid subscription charge is due.

3. Subscription plans and prices

Unless cancelled before the trial ends, the selected Renew Hub plan converts automatically to a paid rolling monthly subscription.

Renew Email — £5.99 per month: email is the recurring renewal-reminder channel. The service may send one administrative onboarding SMS when a new client is enrolled after Renew Hub's production SMS service is enabled, to identify the reminder-email sender and help the recipient recognise future service communications.

Renew WhatsApp — £7.99 per month: WhatsApp is the recurring renewal-reminder channel. The plan includes an automated welcome message, the Renew renewal-message workflow and delivery-status tracking.

Renew SMS — £19.99 per month: SMS is the recurring renewal-reminder channel. The plan includes a welcome SMS, up to four automated renewal SMS reminders per client per annual renewal cycle, delivery-status tracking and up to 2,500 included SMS segments per rolling 12 months for each 500-client capacity block.

Renew Complete — £24.99 per month: email, WhatsApp and SMS are available within the Renew renewal workflow, with configurable primary channel, intelligent fallback and delivery-status tracking. Where SMS is used, the plan includes up to 2,500 SMS segments per rolling 12 months for each 500-client capacity block.

WhatsApp, SMS or Complete is only available for purchase when Renew Hub has enabled the production delivery services needed for that plan. Displaying a pre-launch plan does not create a right to use or be charged for that plan before activation.

4. Active client allowance and capacity upgrades

Each Renew subscription includes an active client allowance of up to 500. An active client is a client record currently marked active in the subscribing tenant and available for active management through Renew Hub.

Inactive or archived client records do not count toward the active client allowance. Sites recorded under a client do not consume a separate allowance unit.

The company administrator may expand the allowance in recurring +500 active-client capacity blocks without starting another Renew subscription. The recurring monthly price for each additional 500 clients is £1.99 on Renew Email, £2.99 on Renew WhatsApp, £10.99 on Renew SMS and £10.99 on Renew Complete.

Capacity upgrades are applied to the existing Stripe subscription after the administrator reviews and confirms the new allowance and monthly increase. The additional capacity becomes available after Stripe accepts the subscription change. Stripe applies its normal time-based proration for the remainder of the current billing period.

The self-service interface may apply a maximum capacity level for operational and commercial control. Higher-volume requirements beyond the available self-service capacity are subject to separately agreed volume pricing.

Reaching the current allowance does not automatically delete client, site, certificate, reminder or historical records. The customer remains responsible for deciding when a client should properly be active, inactive or archived and for complying with its own record-keeping and data-protection obligations.

5. Messaging allowances and service controls

Renew WhatsApp is limited to Renew Hub's automated service workflow, including the welcome message and scheduled renewal reminders. It is not a general-purpose manual or bulk WhatsApp facility.

Where a Renew SMS or Renew Complete plan is active, each 500-client capacity block includes up to 2,500 SMS segments per rolling 12 months for the automated Renew workflow. SMS providers may treat a message as more than one segment because of message length, character encoding or other provider rules, and each resulting segment counts toward the allowance.

The included messaging services are for Renew Hub's automated renewal workflow and associated welcome/service messages. They are not general-purpose bulk or manual messaging facilities.

Renew Hub may apply reasonable technical controls to message templates, length, character set, frequency, delivery attempts and channel fallback to protect deliverability, compliance and included-usage economics. Requirements outside the automated workflow or beyond an included messaging allowance require a separately agreed service.

6. Payment, upgrades and renewal

After the free trial, the selected subscription renews automatically each month unless cancelled or changed.

Renew Hub accepts payment through Stripe using supported cards, Apple Pay, Google Pay and other supported wallet methods made available for the customer or device. Bacs Direct Debit is not offered for this subscription.

Stripe is the payment service provider. Renew Hub does not request or store full payment-card credentials where Stripe-hosted or Stripe-provided payment collection is used.

Where an existing subscriber adds active-client capacity, Renew Hub updates the existing Stripe subscription rather than requiring a second subscription or new Checkout session. The administrator is shown the capacity increase and recurring monthly price before confirmation.

7. No minimum term, cancellation, expiry and renewal

There is no fixed minimum subscription term. The customer may cancel at any time through the available subscription-management route.

If cancellation occurs after a paid period has begun, the final subscription balance may be adjusted proportionately for the time used through cancellation, with Stripe applying any resulting debit, credit or refund as applicable.

When a subscription is cancelled, expires, becomes unpaid or otherwise ceases to provide paid access, Renew Hub may place the tenant into read-only access. Existing tenant records may remain available for review during the applicable post-subscription retention period, but paid mutations such as creating or activating additional client records are disabled. Read-only availability is subject to the data return, deletion, lawful-retention, security and service provisions in these Terms and is not a promise of indefinite storage.

The company administrator may use the available Renew subscription facility to start a replacement subscription. Normal paid access is restored after Stripe confirms the replacement subscription as active or trialing.

Where a subscription is only past due rather than terminated, the customer should use the payment-management facility to recover payment rather than create a duplicate subscription.

8. Customer responsibilities

The customer is responsible for ensuring it has authority to create and manage its tenant, engineers, clients and sites; maintaining accurate account information; protecting login credentials; and limiting access to authorised users.

The customer must determine and document an appropriate lawful basis for personal data it controls, provide required privacy information, and supply only information that is adequate, relevant and necessary for the service purpose.

The customer must not intentionally upload special-category data, criminal-offence data, payment credentials or unrelated sensitive information unless separately agreed under an appropriate lawful and technical control.

9. Data protection and processing roles

Where the customer determines the purposes and means of processing personal data about its clients, contacts, engineers or sites, the customer acts as controller.

Where Ian Cooke trading as EvenAI processes that customer-controlled personal data only to provide Renew Hub on the customer's documented instructions, EvenAI acts as processor under the Renew Gas Cert Data Processing Schedule v1.1.

EvenAI may separately act as controller for account administration, service security, fraud prevention, billing, legal compliance and service-governance records as described in the Renew Gas Cert Privacy Notice v1.1.

10. Communications and acceptable use

The customer must not use Renew Hub to break applicable law or regulation, infringe another person's rights, upload malware, attempt unauthorised access, defeat usage/security/authentication/billing controls, send unlawful communications, conduct unlawful direct marketing, or process information categories expressly excluded by the service without prior written approval.

Renew Hub's standard reminder and onboarding templates are intended as administrative service communications. The customer must not use or alter the service to add unlawful marketing content or otherwise circumvent applicable electronic-communications requirements.

11. Service safety, suspension and pilot controls

Renew Hub may suspend or restrict access immediately where reasonably necessary to protect safety, security, data integrity, customers, the service, compliance obligations, or to prevent unlawful use or a material threat to service or data integrity.

During a controlled pilot, additional safety controls may apply, including participant limits, start-gate approval, incident controls and an emergency kill switch. Suspension does not remove either party's data-protection, confidentiality, payment or exit obligations.

12. Availability and changes

Renew Hub may be updated, repaired or maintained from time to time. Except for obligations that cannot lawfully be excluded, Renew Hub does not guarantee uninterrupted or error-free availability.

Material customer-facing Terms changes will be versioned and communicated through the applicable customer channel where required. Historical acceptance records will be preserved.

13. Confidentiality

Each party must protect the other party's non-public business, security and technical information using reasonable care and use it only for the service relationship, except where disclosure is authorised or required by law.

14. Intellectual property

The customer retains rights in the information it supplies, subject to the rights needed for Renew Hub to process it to provide the service. Ian Cooke trading as EvenAI and applicable licensors retain rights in Renew Hub software, product design, documentation and service materials, excluding customer-owned data and materials.

15. Data return, deletion and retention

At termination, customer-controlled personal data will be returned or deleted in accordance with the customer's documented instructions and the Data Processing Schedule, unless UK law requires retention.

For customer-controlled client/certificate data, the operational target is deletion from the active service within 30 days after a valid termination/deletion instruction, subject to controller instruction and lawful retention requirements.

Provider-controller billing, acceptance, support, security and compliance records are retained under the Privacy Notice. Infrastructure recovery history may remain temporarily recoverable for the applicable Cloudflare D1 Time Travel lifecycle and must not be deliberately used to resurrect data that should remain deleted except for a documented legitimate recovery purpose.

16. Liability

16.1 General contractual cap

Subject to mandatory law and the exclusions below, the total aggregate contractual liability of Ian Cooke trading as EvenAI to the customer arising out of or in connection with Renew Hub and these Terms is limited to a maximum of £500.

16.2 Data-protection and confidentiality contractual damages

To the fullest extent permitted by law, the parties agree that no contractual damages are payable by Ian Cooke trading as EvenAI to the customer solely for breach of the Data Processing Schedule or the confidentiality obligations in these Terms.

This does not purport to remove statutory or regulatory rights, remedies, compensation rights, enforcement powers or liabilities that exist independently of this contract.

16.3 Mandatory-law savings

Nothing in these Terms excludes or restricts liability to the extent applicable law prohibits that liability from being excluded or restricted. Any exclusion, restriction or cap applies only to the extent it is legally effective, including any applicable statutory reasonableness requirement.

16.4 Excluded loss

Subject to the mandatory-law savings above, Ian Cooke trading as EvenAI is not liable for indirect or consequential loss, or loss of profit, revenue, business opportunity or goodwill, to the extent that exclusion is lawful and reasonable in the circumstances.

17. Termination for material breach

If either party commits a material breach that can be remedied, the other party may give written notice identifying the breach and requiring it to be remedied. If it is not remedied within 14 days after that notice, the non-breaching party may terminate the affected agreement or service.

This does not prevent the immediate safety/security suspension permitted by section 11.

19. Governing law and jurisdiction

These Terms and any non-contractual dispute or claim arising out of or in connection with them are governed by the laws of England and Wales. Subject to mandatory law that cannot lawfully be contracted out of, the courts of England and Wales have exclusive jurisdiction.

20. Agreement set and precedence

The Renew Hub customer agreement consists of these Terms and Conditions v1.7, the Data Processing Schedule v1.1 where processor activity applies, the Renew Gas Cert Privacy Notice v1.1 for provider-controller processing, and any specifically agreed order or subscription details.

On data-processing matters concerning customer-controlled personal data, the Data Processing Schedule prevails over inconsistent general service terms to the extent of the conflict.

Version 1.7 supersedes earlier Renew customer Terms for new acceptance without deleting, rewriting or invalidating historical Version 1.0, 1.1, 1.2, 1.3, 1.4, 1.5 or 1.6 acceptance evidence.
